Best Practices for Higher Acceptance

Follow-Up Timing

Based on data from thousands of quotes, here's the optimal follow-up schedule:

  1. Day 1: Quote sent - wait for customer to review
  2. Day 2: If viewed but not accepted - send a friendly check-in
  3. Day 4: If not viewed - resend with different subject line
  4. Day 6: Phone call follow-up
  5. Day 8: Final reminder before expiration

Setting Expiration Dates

  • Standard residential: 7-14 days
  • Commercial projects: 14-30 days
  • Seasonal services: Shorter (3-7 days) during busy season
  • Large projects: Longer (30+ days) for budget approval

Deposit Requirements

Consider requiring deposits for:

  • Large projects over $1,000
  • New customers with no history
  • Projects requiring material purchases
  • Seasonal or holiday scheduling

Quote Presentation Tips

Make your quotes stand out:

  • Use clear, descriptive line items
  • Include before/after photos from similar jobs
  • Add your logo and brand colors in settings
  • Include testimonials in your terms section
