Mobile App Documentation

Complete guide to using the Sergio mobile app for iOS and Android

Installation & Setup

System Requirements

  • iOS 15.0 or later (iPhone 8 and newer)
  • Android 10.0 or later
  • Active internet connection for initial setup
  • Camera access for photo documentation

Download & Install

  1. Open the App Store (iOS) or Google Play Store (Android)
  2. Search for "Sergio - Field Service"
  3. Tap Install or Get
  4. Wait for the download to complete
  5. Open the app when installation finishes

First Login

  1. Enter your company subdomain (e.g., yourcompany.sergio.app)
  2. Enter your email and password
  3. Grant requested permissions:
    • Location - Required for navigation and job tracking
    • Camera - Required for before/after photos
    • Notifications - Recommended for job updates and reminders
  4. Complete the initial sync (this may take a few minutes)
  5. You're ready to go!

Offline Functionality

How Offline Mode Works

The Sergio mobile app is designed to work seamlessly even without an internet connection. Your data syncs automatically when you're back online.

Works Offline

  • View today's schedule and job details
  • Start and complete jobs
  • Take before/after photos
  • Add notes and update job status
  • Record time entries
  • View customer information
  • Access previously synced data

Requires Internet

  • Processing credit card payments
  • Sending emails/SMS to customers
  • Creating new customers or jobs
  • Syncing with the web dashboard

Sync Behavior

When you regain connectivity:

  • Conflict resolution: Most recent changes take priority
  • Sync frequency: Every 5 minutes when connected
  • Manual sync: Pull down on any list to force sync

Navigation & Route Planning

Viewing Your Route

  1. Tap the Route tab at the bottom of the screen
  2. Your jobs appear in optimized order
  3. Tap any job to see it on the map, or tap View All to see the full route
  4. Estimated travel times update based on current traffic

Turn-by-Turn Navigation

  1. From any job, tap the address or map preview
  2. Choose your preferred navigation app when prompted or change your default in Settings:
  3. Supported navigation apps:
    • Sergio Maps (in-app): Basic directions without leaving the app
    • Apple Maps (iOS): Full turn-by-turn with CarPlay support
    • Google Maps: Most detailed traffic data
    • Waze: Community-powered traffic alerts
  4. Navigation starts automatically with voice guidance

Route Optimization

Sergio automatically optimizes your daily route based on:

  • Geographic clustering - Jobs near each other are grouped together
  • Time windows - Scheduled appointments are prioritized
  • Traffic patterns - Real-time and historical traffic data
  • Job duration - Estimated time for each job is factored in

Job Management

Viewing Job Details

Each job card shows:

  • Customer name and contact info
  • Service address with map preview
  • Scheduled time and estimated duration
  • Service details and special instructions
  • Previous job history at this location
  • Pricing and payment status

Starting a Job

  1. Navigate to the job location
  2. Tap "Start Job" when you arrive
  3. Take before photos if required
  4. Review any special instructions
  5. Begin your work

Completing a Job

  1. Tap "Complete Job" when finished
  2. Take after photos if required
  3. Add any notes about the work performed
  4. Update line items if pricing changed (optional)
  5. Choose to create invoice now or later
  6. Collect payment or send invoice

Mobile Invoicing

Creating Invoices from Completed Jobs

  1. After completing a job, tap Create Invoice
  2. Review line items and pricing
  3. Add any additional charges or discounts
  4. Add notes or terms if needed
  5. Tap Send to email immediately, or Save to send later
  6. Customer receives a professional invoice with payment link

Collecting Payment On-Site

For customers who want to pay immediately:

  1. From the invoice, tap Collect Payment
  2. Choose payment method:
    • Card - Enter card details or tap to pay with contactless (coming soon)
    • Cash - Record cash payment amount
    • Check - Enter check number for your records
  3. Confirm the payment amount
  4. Customer receives an automatic receipt
  5. Payment appears in your dashboard immediately

Photo Documentation

Before & After Photos

  1. When starting a job, tap the camera icon
  2. Select Before photo type
  3. Take photos of key areas (windows, surfaces, problem areas)
  4. Add captions to describe what you're documenting
  5. After completing work, tap After photo type
  6. Take photos from the same angles as your before shots

Photo Storage & Access

  • All photos sync to the cloud automatically
  • Photos are associated with the specific job
  • Access any photo from the web dashboard
  • Share photo links with customers via email
  • Photos are stored securely and backed up

Time Tracking

Automatic Time Tracking

When you tap "Start Job" and "Complete Job", Sergio automatically tracks your time. Drive time, job duration, and breaks are all recorded for accurate reporting.

Viewing Time Reports

  1. Go to Reports in the app menu
  2. Select date range for your report
  3. View breakdown by job, day, or customer

Manual Adjustments

Admins can adjust time entries from the web dashboard if corrections are needed.

Troubleshooting

Sync Issues

  1. Ensure you have an active internet connection
  2. Pull down on any list to force a sync
  3. Try logging out and back in
  4. If issues persist, contact support

GPS/Location Issues

  1. Check that location permissions are enabled
  2. Ensure Location Services is turned on in device settings
  3. Move to an area with better GPS signal
  4. Restart the app if location seems stuck

App Crashes

  1. Update to the latest version from the app store
  2. Restart your device
  3. Reinstall the app if crashes continue
  4. Contact support with crash details

Battery Optimization

To extend battery life while using Sergio:

  • Enable battery saver mode in app settings
  • Reduce screen brightness
  • Close other apps running in the background
  • Keep a car charger handy for long days
